Guiding you through getting speaking gigs

Uncategorized

In most cases, landing paid keynotes or workshops takes a lot more than simply submitting a call-for-speakers form. That’s why my team and I go the extra mile—we research industries, associations, and corporations where we know they book and pay speakers. We gather data and build relationships because that’s how we create meaningful, paid opportunities.

But here’s the truth: from identifying the right company to actually stepping on that stage, it takes more than just research. It takes heart, follow-up, and a genuine connection. Below, I’ve outlined a compassionate, practical guide that will help you navigate the process. And while speaker bureaus exist to offer Done-For-You services, the reality is you’ll still need to be part of crafting proposals and building relationships. That’s what truly makes the difference.

Step 1: Get Curious—Research Each Organization

🌟 Understand their heart
Explore their website. Get to know their mission, values, and what really matters to them.

🌟 Look at their past events
What themes do they focus on? Who is in their audience? What kind of speakers have they invited before?

🌟 Stay connected through social media
Follow them on LinkedIn and other platforms. Keep an eye on announcements, press releases, and news stories about their events.

Step 2: Find the Right Connection

🌟 Use LinkedIn thoughtfully- and if you need emails use hunter.io as a tool to find them all you need is their company website link
Seek out people with titles like:

  • Event Manager or Director
  • Training & Development Coordinator
  • HR Manager
  • Corporate Learning Officer
  • Chief Marketing Officer

🌟 Don’t be afraid to call
If you’re unsure who to connect with, pick up the phone and ask,
“Who oversees your speaker selection for events or workshops?”

🌟 Lean into warm introductions
See who in your network might open a door for you. A warm introduction can make all the difference.

Step 3: Reach Out with Heart

🌟 Personalize your message
Use their name. Mention something specific you admire about their organization or past events.

🌟 Focus on value
Share how your expertise can support their mission or meet a need.

Sample subject + email:
Subject: Contributing to [Organization Name]’s mission through impactful keynotes

Hi [Name],

I was truly inspired by [specific event or initiative], and I see a beautiful alignment between your mission and the work I do in [your niche].

I’d love to explore how I can contribute through a keynote or workshop that leaves your audience energized and empowered. Would you be open to a quick conversation about your upcoming needs and how I might support them?

Warmly,
Erin

🌟 Follow up with kindness
If you don’t hear back, follow up in 7-10 days with a gentle reminder and continued interest.

Step 4: Build Trust

Ask thoughtful, supportive questions:

  • What topics are most meaningful to your audience right now?
  • What impact do you want your keynotes or workshops to create?
  • What’s your process for selecting speakers?
  • Do you have set budgets for these opportunities?

Step 5: Create a Proposal that Reflects YOU

🌟 Showcase your unique gifts
Include testimonials, case studies, and outcomes you’ve helped create.

🌟 Offer flexible packages
From keynotes to workshops, include add-ons like Q&A sessions or post-event resources.

🌟 Be open
Stay adaptable to meet their goals and budget.

Step 6: Nurture the Relationship

🌟 Send a thank-you note after each interaction.
🌟 Keep in touch—share insights, resources, or encouragement that’s aligned with their mission.
🌟 If you’ve worked together, don’t hesitate to ask for referrals.

💫 Bonus Tips:

  • Track your outreach so you can follow up with intention.
  • Share social proof to build trust and credibility.
  • Practice your pitch until it feels natural, warm, and powerful.

Step 7: Negotiate with Generosity and Confidence

When it comes to negotiating your fee, it’s all about serving first, co-creating with kindness, and showing up as a true partner in their success. Here’s my flow that you can use as a guide:

🌟 Start with your full value
Always begin by sharing the full package of what you can bring to the table — your keynote, workshop, book, resources, travel expenses — everything that would truly serve their audience at the highest level.

🌟 If they say, “That’s out of budget”…
Gently and with curiosity, ask:
“I completely understand. What budget range are you working with? I’d love to co-create a custom package that meets your needs.”

This shows that you’re collaborative and solutions-focused.

🌟 Book + speech bundle first
If you have a book, aim to bundle the book with your keynote and travel costs — that way, they get maximum value, and you cover your bases.

🌟 If needed, separate the pieces
If the bundle isn’t working within their budget, you can guide them:
“One way we can work within your materials budget is to separate the book from the keynote — the book could come out of your materials budget, and the keynote from your speaker budget.”

Yes — you’re teaching them a win-win hack that they may not even have considered!

🌟 Offer a creative solution
“Typically I charge [your standard rate], but what if I could offer to sell my books or program from stage to help offset the fee gap?”

This positions you as resourceful and flexible — and aligned with your desire to make an impact while honoring your value.

🌟 Ask how you can be even more helpful
“What other types of speakers are you looking for? I’d love to help you fill your event with outstanding speakers. I have a network I trust.”

You become a trusted advisor, not just a speaker.

🌟 Explore additional visibility opportunities
“Would it be possible to have a table or booth to offer resources to attendees?”
“Do you already have an emcee? I’d be happy to support in that way — it’s a great way to create flow for the event and engage the audience further.”
“Would you like me to lead an energizing activity — maybe during breakfast, lunch, or as a fun reset between sessions? Audiences love experiential moments that break up the day.”

💫 Remember: Negotiation is just another opportunity to serve, connect, and create magic together. Your goal is to make it easy for them to say yes while honoring the incredible value you bring.

By following this guide, you’re not just chasing gigs—you’re building real connections and creating opportunities that align with your heart, your mission, and your desire to make an impact. And remember—persistence with kindness and professionalism always pays off.
